Job Description
The Finance Operations Specialist plays a key role in the day-to-day running of our digital-asset business, covering asset reconciliation, trade settlement, safeguarding controls, operational reporting, issue resolution, and process improvement. Working closely with Trading, Finance, Compliance, Technology, Risk, and external counterparties, the successful candidate will help ensure operational activities are completed accurately, securely, and on time. This role operates on a rotational shift schedule (7am–4pm / 9am–6pm / 12pm–9pm / 3pm–12am). Shift work is mandatory and non-negotiable. What you'll be doing: Coordinate daily operational activities and ad hoc assignments from the reporting manager, ensuring adherence to standard operating procedures, internal controls, service-level expectations, and quality standards. Perform daily reconciliation of the company’s and clients’ digital assets, fiat balances, receivables, payables, and other relevant assets and liabilities across wallets, custodians, exchanges, banks, and internal ledgers. Investigate reconciliation breaks and balance discrepancies, identify their root causes, and coordinate with the relevant teams or counterparties to ensure timely resolution. Facilitate the timely and accurate settlement of digital-asset and fiat transactions with exchanges, custodians, liquidity providers, banks, and other counterparties. Monitor pending deposits, withdrawals, transfers, and trade settlements, escalating delayed, failed, or unusual transactions in accordance with established procedures. Support the proper segregation and safeguarding of client assets in accordance with applicable Monetary Authority of Singapore requirements, internal policies, and regulatory obligations. Maintain accurate operational records and supporting documentation to provide a clear audit trail for transactions, reconciliations, approvals, and exception handling. Prepare accurate and timely reports covering operational accounts, asset positions, transaction activity, reconciliation exceptions, settlement status, and key operational metrics. Address day-to-day operational issues and incidents, working with Technology, Trading, Finance, Compliance, Risk, Customer Support, and other relevant departments to achieve prompt resolution. Escalate material discrepancies, control failures, settlement risks, and operational incidents to the appropriate stakeholders in a timely manner. Facilitate clear communication and effective information flow between the Operations team and other departments to support seamless collaboration and coordinated decision-making. Assist with the development, documentation, implementation, and periodic review of operational procedures, controls, checklists, and contingency plans. Identify operational risks, control gaps, and opportunities for process improvement, and implement practical solutions to improve accuracy, efficiency, scalability, and resilience.
